Position Summary

The Studio Arts Assistant supports the administration and daily operations of the Des Moines Art Center's studio education programs. This role is responsible for building and managing class offerings within the class database, coordinating class schedules, maintaining department calendars, and supporting classroom setup and organization. The Studio Arts Assistant serves as a key point of contact for the public and works collaboratively with education, visitor experience staff, and facilities to ensure a positive and informative experience for all students and guests.

Reporting Relationship

This position reports to the Senior Studio Arts Manager and has frequent contact with peers and managers in the Studio Art and Security Departments. This position also interacts with other departments such as the Museum Education, Development, Information Technology and Facilities.

Essential Functions

  • Build and manage studio art classes and workshops in Tessitura (current class database used), ensuring accuracy in course details, instructor assignments, and enrollment limits.
  • Serves as the Tessitura "expert" within the Studio department.
  • Provides information to visitors and prospective students about classes and programs.
  • Responsible for enrollment and attendance tracking and reporting.
  • Maintains department calendar and coordinates between staff and Facilities to execute studio set-up according to program needs.
  • Serve as a liaison to the Education Desk, providing accurate and timely information to support staff responding to public inquiries.
  • Processes departmental invoices including independent contractor payments.
  • Manages scholarship awards program, applying established criteria to ensure fair and equitable distribution aligned with established priorities and budget. Tracks and reports scholarship usage and supports ongoing evaluation of this program.
  • Acts in ways that reflect favorably on the Art Center and maintains professional standards in the quality of performance and demonstration of concern for the Art Center's collection, programs, and facilities.

Qualifications, Knowledge, Skills, and Abilities

  • 3-year relevant work experience
  • Proficient with Microsoft Office programs, specifically strong Excel and Word skills and internet applications.
  • Able to work within database systems and prepare accurate complex records and reports.
  • Able to prioritize and handle multiple tasks at once while providing customer service internally and externally.
  • Comfortable using all forms of technological devices including PCs, Macs, tablets and printers.
  • Excellent customer service and communication skills including the ability to provide detailed or important instructions verbally and in writing to others quickly and accurately.
  • Ability to organize and prioritize work to meet deadlines.
  • Detail oriented with a high level of accuracy.
  • A strong contributor in a team environment.
  • Experience with Tessitura or fundraising databases preferred.
  • Must be consistently at work and on time; ensuring work responsibilities are covered when absent and arriving to meetings and appointments on time.

Decision Making

Participate in day-to-day operational decision making under the guidance of Senior Studie Arts Manager.

Special Considerations (Work Environment, Schedule, Required Travel, etc.)

  • Most work is performed in a desk setting. Some duties are performed in the art and technology studios.
  • This position requires a flexible schedule.
  • This position offers a hybrid work schedule working both in the office and remotely.
