This role is offered in our San Francisco office, and the successful candidate will be in the office 2-3 days per week.

The Role

Our Project Managers are responsible for the smooth delivery of client projects, across written, visual and social assets and more.

A successful Project Manager will make their mark on our clients’ business day in and day out, with a keen eye for detail, impact and creativity - all driven with our AI tools. You’ll make a mark on your direct team by ensuring projects run on-time and accurately deliver to scope and budget.

You’ll be a trusted liaison to clients as you help them understand timelines and processes while communicating direction and feedback clearly to the creative team. You are able to work with people from different industries and outlooks, whether they have a marketing or technical background.

How You Will Make Your Mark

  • Oversee and manage multiple long-term and short-term projects, taking responsibility for successfully delivering client requests against requirements and tight deadlines collaborating with multiple markets

  • Schedule workflows and identify resource requirements for each project, flagging risks and shortfalls where necessary and working collaboratively to detect and problem solve

  • Work closely with distillery’s creative and strategy teams

  • Coordinate schedules for the in-house and freelance team and lead daily scrums to ensure projects run on time against the confirmed schedule

  • Set up and coordinate new projects, including but not limited to creating detailed processes and assessing resourcing needs (through Monday.com)

  • Produce and deliver production schedules for written projects, as well as those requiring an assortment of written and visual assets

  • Manage a large international pool of freelance writers, proofreaders and translators

  • Recruit and onboard (into all distillery processes and tools) new freelance writers and proofreaders as the needs of the writing team evolve

  • Continually look to evolve the written team’s processes and ways of working to improve efficiency and customer experience

Account Management:

  • Be the main point of contact for clients on assigned projects. Listen and document the needs of clients and interpret them effectively to the team responsible for executing the work

  • Manage client expectations and communicate project planning, timing and dependencies clearly

  • Liaise with and maintain a good working relationship with clients via day-to-day interactions over all platforms

  • Lead weekly/bi-weekly/monthly as well as ad-hoc client syncs, communicating project updates effectively and making detailed notes

  • Act as a fixer for clients, handling comms with customers, as well as any other requests that come in

  • Own project documentation and organisation between distillery and client

  • Maintain accurate and up to date budgets and organise billing for writers and other contractors when necessary

Administration and New Business:

  • Take part in new business pitches, owning the creation of timelines/schedules when required

  • Support internal distillery marketing as needed, organising individual tasks and publishing completed content

  • Assist with the creation of decks for relevant projects as needed

What You Will Bring to Make Your Mark

  • You’ll bring extensive experience in a project management / program management / account management role in a creative or tech business

  • Proven ability to lead and deliver a wide range of projects using the latest AI workflows

  • Experience building and managing budgets

  • Comfortable working directly with clients, creative teams, and external partners in a fast-paced, high-standard environment

  • Skilled at balancing creative ambition with logistical and financial realities
